Member Point app Privacy policy

About this app and who we are
The Member Point app (the "App", Android package au.com.memberpoint.memberpoint) is published on Google Play and the Apple App Store by DBL Solutions Pty Ltd (ABN 97 125 815 929) under the developer name Member Point, and is provided to clubs by Member Point Pty Ltd (ABN 71 614 777 141) under agreements with each club. Both companies are located at Unit 35, 328 Reserve Road, Cheltenham VIC 3192, Australia ("Member Point", "we", "us").
The App lets clubs deliver their digital services to members in one place. It connects to the systems your club uses, such as its membership, results, pass and notification systems, and shows them together in the App.
Your club is responsible for your personal information. We provide the App and the technology that connects it to your club's systems, and we handle your information on your club's behalf. Your club's own privacy policy explains how it collects, uses and discloses your information, and you should read it together with this policy.
How the App works
When you use the App, your requests pass through our secure gateway to your club's systems, and the results are returned to the App. Our gateway uses access credentials provided by your club to connect to those systems. The gateway does not keep copies of your club records. It does keep:
- Access logs of requests made through the gateway, used for security, troubleshooting and service reliability, kept for a limited period and then deleted; and
- Notification records linking your member ID to your device's notification token, so your club can send you notifications.
Information the App handles
Depending on the features your club has enabled, the following information is sent to or retrieved from your club's systems:
- Login details: the username or email address and password you use to sign in with your club.
- Member details: your name, contact details (such as email address, phone number and postal address), membership details and other information held by your club, which you can view and update in the App.
- Member directory: if your club offers a member directory, you can search it and see other members' names, email addresses and phone numbers, and other members can see yours. You can opt out of appearing in the directory.
- Account information: your club account, such as fees, charges, payments and balances.
- Passes, registrations and payments: sail passes, day passes and crew registrations you purchase or submit. Payments made in the App are processed through your club's own merchant account and payment provider. We do not store your card details.
- Notifications: if you allow notifications, the App uses Firebase Cloud Messaging, a service provided by Google, to deliver them. This involves a device token that identifies your installation of the App. You can turn notifications off at any time in your device settings.
- Club content: news, results, documents and other content published by your club for members.
The App does not access your location, contacts, photos, camera or microphone.
How this information is used
This information is used only to sign you in, show and update your club information, process passes, registrations and payments, send you club notifications, provide the other features your club has enabled, and operate, secure and maintain the App. It is not used for advertising, and the App does not display ads.
Sharing
Information is shared with your club and with the systems your club uses to manage its membership, results, passes and payments. Depending on your club, these may include Micropower, MemberMagic, TopYacht and Revolutionise SPORT (used by Australian Sailing), and your club's payment provider. Those providers handle your information under their agreements with your club and their own privacy policies.
We also use service providers to operate the App and gateway: Amazon Web Services for hosting and Google (Firebase Cloud Messaging) for notifications. They may only use the information to provide their services.
We do not sell personal information or share it with advertisers.
Storage, security and retention
Your member information is held in your club's systems. Our gateway, access logs and notification records are hosted on Amazon Web Services (AWS) in Australia. Information is sent between the App, our gateway and your club's systems over encrypted (HTTPS) connections. The App keeps a secure sign-in token on your device so you stay logged in; signing out or uninstalling the App removes it.
How long your member information is kept is decided by your club, in line with its privacy policy and record-keeping obligations. Notification records are removed when you sign out, uninstall the App or your account is deleted.
Access, correction and account deletion
You can view and update many of your details in the App. To access or correct other information, contact your club.
Accounts created in the App. If you created your account in the App (for example, to purchase a day pass), you can delete it by going to My Account > Delete Account and confirming. Your account is then marked for deletion, you are signed out, and your club is notified so it can complete the deletion in its systems. This can take up to 2 weeks and cannot be undone. You can also request deletion online at [deletion request page URL] or by emailing [email protected].
Club membership accounts. If your account was created by your club as part of your membership, it is managed under your membership agreement with your club. To close it or have your information deleted, contact your club. You can also email [email protected] and we will pass your request to your club.
When your account is deleted, we delete the information we hold that is linked to you, such as notification records and access logs. Your club may need to keep some information, such as financial records, to meet its legal obligations.
